“Looks good” is encouraging feedback. A production approval needs more detail. Name the sample, confirm what has been approved and record any changes still required. Both teams should be able to open the same record and know what is being made.
Identify the sample version
Use a style code and sample version in every photograph and comment. Record the date and the brief it relates to. If the sample has temporary leather, hardware or branding, note that explicitly. A shape sample may not be the final material reference.
Say exactly what you are approving
You may be approving the silhouette, one component or the complete product. Make that distinction clear. State whether the next step is a revised sample, a material confirmation or release to production against an agreed specification.
Send one revision list
Collect feedback from everyone who needs to approve the design. For each change, show the current detail, the requested correction and the reference to follow. Use annotated photographs where helpful. Resolve conflicting comments within your team before sending the list.
Close the open decisions
Check leather, colour, hardware, measurements, lining, branding and packaging. Name any item still undecided and agree who will resolve it. Ask to be consulted on substitutions. Decide whether a change needs another sample before the relevant production work starts.
Keep the approval record together
Save the sample reference, photographs, material list, confirmed revisions and approval date with the order breakdown. Name the buyer’s approver and the manufacturer’s contact. Agree who retains the physical sample so it is available when a question arises.
Return to the reference for repeat orders
Use the approved sample and specification during the agreed production review. For a repeat order, reconfirm materials and components rather than assuming everything remains available. Record any change before it becomes part of the new order.
Keep approval and the production start distinct.
Approval identifies the sample that will guide the order. At Farhan Exports, the 75–90 working-day production period starts after both order confirmation and receipt of the advance, whichever is later. Confirm outstanding revisions, the quotation and the order schedule together. Freight and clearance need additional time.
